PROJECT MANAGER (Fixed-Term)

POSITION SUMMARY

ARTECHOUSE seeks an experienced Project Manager to lead the limited reopening of its Washington, D.C. location. This individual will assume full ownership of deployment — from planning and labor coordination through implementation and transition to operational state.

This role is execution-focused. The Project Manager will work closely with a group of ATH consultants who have deep institutional knowledge of the venue, equipment inventory, technical infrastructure, and historical deployment protocols. The Consultant will provide strategic and technical guidance; the Project Manager will own delivery.

The ideal candidate is operationally rigorous, financially disciplined, and technically fluent in multimedia installation environments. They are comfortable managing rigging, A/V engineers, vendors, contractors, and internal stakeholders while balancing budget and timeline constraints.

This is a fixed-term, project-based role tied to the reopening timeline.

CORE RESPONSIBILITIES

Project Ownership & Deployment

  • Own the end-to-end deployment plan for the DC reopening.

  • Translate strategic guidance from the ATH Consultant into actionable schedules and workstreams.

  • Manage a master reopening timeline, including:

    • Pre-production planning (draft provided)

    • Infrastructure review

    • Labor scheduling

    • Commissioning and operational turnover

  • Ensure readiness for public-facing operational state.

Budget & Financial Oversight

  • Develop and manage the reopening budget across all categories (labor, vendors, engineering time, rentals, repairs, contingency).

  • Track burn rate in real time and manage resource allocation accordingly.

  • Manage engineering and consultant hours carefully to align with budget expectations.

  • Approve invoices and reconcile final project costs with accounting.

Labor & Vendor Management

  • Hire and manage installation crew and technical overhires as needed.

  • Identify and contract appropriate vendors (A/V, fabrication, electrical, IT, etc.).

  • Negotiate rates and payment terms where applicable.

  • Supervise onsite labor to ensure quality and efficiency.

  • Manage external engineers and technical consultants, prioritizing scope and time.

Technical & Infrastructure Oversight

  • Audit and assess existing venue infrastructure, including projection systems, media servers, networking, power, rigging, and structural elements.

  • Ensure that all systems are stabilized and documented before reopening.

  • Work with knowledgeable engineers to resolve technical issues efficiently.

Planning & Documentation

  • Maintain clear documentation of:
    • Scope of work
    • Equipment inventory and condition
    • Operational handoff procedures

  • Create structured workflows to ensure transparency across stakeholders.
  • Lead regular production meetings and distribute status updates.

Risk Management & Problem Solving

  • Identify risks early (timeline, labor, equipment failure, vendor delays).
  • Develop contingency plans.
  • Anticipate technical bottlenecks before they impact the schedule or cost.
  • Provide clear decision-making recommendations to leadership.

Operational Transition

  • Ensure smooth handoff from the installation phase to the operational team.
  • Confirm that all systems are stable, documented, and supportable.
  • Assist in defining maintenance plans and resource requirements for ongoing operation.

CORE QUALIFICATIONS

  • 7+ years of experience managing large-scale experiential, multimedia, or technical production projects.
  • Demonstrated financial project management experience.
  • Strong understanding of A/V systems, projection workflows, media servers, networking, and integration environments.
  • Experience managing installation crews and external vendors.
